Privacy Policy
Who we are
MOTW Coffee & Pastries operates this store. If you have any question about your personal information, or want to exercise any of the rights below, contact us at motwprovidence@gmail.com.
What we collect
We collect only what we need to sell to you and run the store:
- Order details — your name, email address, phone number, delivery and billing address, and what you bought.
- Account details — if you create an account, your sign-in details and any addresses you save.
- Payment details — handled by our payment provider. Card numbers are entered directly with them and are never stored on our systems.
- Usage information — pages viewed and how you reached the store, only where you have accepted the relevant cookies.
- Messages — anything you send us by email, contact form or chat.
Why we use it
To take and deliver your order, to handle returns and refunds, to answer your questions, to meet our legal and tax obligations, and — only if you have opted in — to send you marketing. We do not sell your personal information.
Cookies
Necessary cookies keep the site working: your basket, your session, your cookie choice. Analytics and marketing cookies are only set if you accept them in the cookie banner, and you can change your answer at any time from the cookie settings link on the site.
Who we share it with
Only the suppliers we need to run the store, each given only what they need to do that job and bound by contract to use it on our instructions:
- Trivo Technologies — our store platform, which hosts the store and handles your order, account and email data on our behalf.
- Amazon Web Services (AWS) — hosting for the store platform, in the US East (Ohio) region.
- OVHcloud — the mail server, in London, UK, that sends our emails.
- Cloudflare — DNS, content delivery and security for the website.
- Stripe or DNA Payments — whichever takes your card payment.
- Anthropic — AI features such as the chat assistant, where we use them; only the text of the request is sent.
- Google — address look-up at checkout and “Continue with Google” sign-in, if you use them.
- Delivery carriers — your name, address and contact details, to deliver your order.
We also share information where the law requires it. We do not sell your personal information.
International transfers
Our hosting and AI providers are in the United States, so some of your information is transferred there. Where the provider is certified under the EU–US Data Privacy Framework and its UK Extension we rely on that; otherwise the transfer is covered by the UK International Data Transfer Addendum (IDTA) or the EU Standard Contractual Clauses (SCCs).
Marketing emails
We only send marketing emails if you opt in, and we keep a record of when and how you did. Every marketing email has an unsubscribe link that works with one click. Our marketing emails contain no tracking pixels, so we do not record whether you open them.
How long we keep it
- Order records — for as long as tax and accounting law requires.
- Account details — while your account is open.
- Copies of emails we send you — 90 days.
- Email delivery logs (address, subject, time, whether it was delivered) — 13 months.
- Mail-server logs — 30 days.
- Marketing consent — until you withdraw it. If you unsubscribe or ask us to delete your data, we keep a keyed hash of your email address (not the address itself) indefinitely, only so that we never email you again by mistake.
- Backups — overwritten on a rolling basis, so deleted information drops out of them over time.
Your rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to how we use it, receive it in a portable format, or withdraw consent you have given. You can download or delete your data yourself from your account privacy page, or contact us. We will respond within one month; if a request is complex we may need up to two more months, and we will tell you within the first month if so. You also have the right to complain to your data protection regulator — in the UK, the Information Commissioner’s Office (ico.org.uk).
Changes
If we change this policy we will update this page.
